Disclosure: Kalend is ours. The advice works with any app, or with pen and paper.
In short
Once a week, spend 20 minutes: review last week, choose three priorities, put fixed appointments on the calendar, give each priority a time, and keep a buffer. Kalend puts your tasks, calendar and habits in one app so the plan and the week live in the same place.
- Three priorities, not thirty tasks.
- Give each priority a time on the calendar.
- Leave a buffer — every week goes wrong somewhere.
1. Look back (5 minutes)
What got done? What slipped, and why? Move anything unfinished forward or delete it — don’t carry a list you’ll never do.
2. Pick three priorities (3 minutes)
Ask: if only three things happened this week, which would make it a good week? Write them down. Everything else is “if there’s time”.
3. Put the fixed things in first (5 minutes)
Work, classes, appointments, the gym, family dinners. Seeing the week’s real shape shows how little free time there actually is.
4. Give each priority a time (5 minutes)
A priority without a time slot is a wish. Book it like a meeting: “Tuesday 7–9 pm: finish the report.” Put the hardest one early in the week.
5. Keep a buffer (2 minutes)
Leave one free evening or a half-day. When something runs late, the plan bends instead of breaking.
How to do it in Kalend

- Tasks with dates and priorities. Projects, priorities, due dates and repeating tasks that roll forward instead of just closing.
- See the week on the calendar. Your own appointments, your tasks by the hour — and your iPhone’s calendars beside them if you switch that on.
- Type it the way you think. “Gym tomorrow 6pm” — Kalend picks out the date and time. It runs on your device.
- Keep the habits that hold the week up. Sleep, walks, study — with grace days so one miss never breaks a streak.
Kalend is free, with no account — it syncs through your own iCloud.
