Privacy policy

Available is a booking tool for small businesses — barbers, stylists, tattoo artists, trainers, realtors, consultants. It's run by The Big Head in Canada. Questions: info@thebighead.ca.

There are two kinds of people here, and the rules are a little different for each.

If you book an appointment

You book on a business's own page (for example availableapp.io/jays-cuts). The business decides what it asks for and is responsible for your information; we hold it for them so they can run their bookings.

What's collected: your name; your email and/or phone number (the business chooses which are required); any note you add; your address only if the service happens at your place; and the appointment itself (what, when, with whom, price shown).

What it's used for: making the booking, sending your confirmation, reminders and any change or cancellation, and letting you reschedule or cancel from the link in those emails. We send only messages about your appointments — no marketing. Every reminder has a link to turn reminders off.

What we never do: sell your information, show ads, use tracking cookies, or use analytics that follow you. Your details aren't shared between businesses: if you book two different shops, each has its own record.

If you use the app for your business

What's collected: your sign-in email (or your Sign in with Apple identity), your name, your business details (name, contact details, address, hours, services, prices), your team members' names and the emails you invite them with, and your devices' notification tokens so we can tell you about new bookings.

You're responsible for having a reason to contact your clients and for keeping what you write about them (notes) respectful and necessary. You can correct or delete a client's details at any time in the app, and export everything as spreadsheets (Settings → Account → Export business data).

Open Chairs (optional public listing)

If a business chooses to be listed, its name, category, one line about it, neighbourhood and next open time are public. Home studios can show only their neighbourhood; their map pin is placed about 1 km away. A person reviews every listing first. Anyone can report a listing; reports and their optional contact details are seen only by us.

Technical information

To stop abuse (for example, someone hammering the booking page), we keep a scrambled (hashed) form of your IP address for up to 24 hours. Our hosting provider keeps standard request logs for up to 30 days.

Where it's stored

In Canada: Google Cloud (Firebase) in Montréal (northamerica-northeast1). Emails go out through our email provider; app notifications go through Apple. See the subprocessor list at thebighead.ca/available/subprocessors.

How long we keep it

• A client's details are anonymised automatically when they haven't booked with that business for 3 years.
• If a business closes its account, its booking page comes down immediately and everything is deleted 30 days later.
• Backups roll off after 35 days.
• Deleting your app account (Settings → Account) deletes your login and personal details right away.

Your rights

You can ask to see or correct the information held about you, or ask for it to be deleted. If you booked with a business, it's quickest to ask them; you can also write to us at info@thebighead.ca and we'll help, normally within 45 days as Alberta's Personal Information Protection Act requires. If you're not satisfied, you can contact the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).

Children

The app is for businesses and isn't directed at children under 13. A parent or guardian can book for a child.

Changes

If this policy changes in a way that matters, we'll update the date above and tell businesses in the app.
