Gathr ("we", "our", or "the app") is developed and operated by The Big Head in Edmonton, Alberta. This Privacy Policy explains what information Gathr collects, why, where it is kept, and the choices you have. It covers the Gathr app for iPhone and iPad and the RSVP pages guests open from their invitation links on thebighead.ca.
The short version: Gathr collects only what it needs to run your events, never sells it, shows no ads, does no tracking and runs no analytics. Gathr is free and never takes, moves or processes money.
Information We Collect
From hosts (people who use the app)
Account information: your name, email address and a user ID, created when you sign in with Apple, Google or email and password. Passwords are handled by Firebase Authentication; we never see them.
Event information: what you enter for your events — names, dates, places, descriptions, functions (such as a mehendi or reception), the look (theme) you pick, your planning checklist, your invitation message style and personal note, updates and polls you post, and your budget and expenses.
Guest information: the names, and where you add them, the email addresses and phone numbers of the guests you add, plus details you record such as plus-ones, dietary needs and notes.
From guests (people who reply to an invitation)
Your reply: when you open your personal invitation link and RSVP, we store your answer (going, maybe or can't go) for each part of the event, the number of people coming with you, and any note you add. You don't need an account or the app; the page signs in anonymously only so your reply can be saved to the host's guest list.
Information we do not collect
No location tracking, no browsing or search history, no advertising identifiers, no health or financial information.
No analytics or crash-reporting SDKs, and no tracking of you across other apps or websites.
No payment information — Gathr has no in-app purchases, sells nothing and never processes money. The Finance tab is only a record you keep of costs and who paid whom.
Device features, only when you use them
Contacts: Gathr does not ask for access to your address book. When you add guests from your contacts, iOS shows its own contact picker and shares only the people you tap. Those guests are saved with your event.
Calendar: asked only when you tap Add to Calendar, to add that event. Gathr does not read your calendar.
Photos: the system photo picker when you choose an event cover, and permission to save a ticket card when you ask. Photos you pick stay on your device.
Camera: asked only when you open ticket check-in to scan a guest's QR code.
Notifications: for RSVP and event reminders. Declining costs nothing else.
How We Use Your Information
Only to provide the app's features ("app functionality"):
Save your events to your account so they follow you to a new iPhone or iPad
Share an event with the co-hosts you invite, so you both see and edit it
Show invited guests the event details, theme and your personal note on their RSVP page, and record their replies in your guest list
Show updates and polls to the event's host, co-hosts and invited guests
We do not use your information for advertising, profiling or selling, and we do not use it to train AI models.
Who Can See What
Events are invitation-only. There is no public feed or directory.
The host and co-hosts see the event's guest list, including the contact details the host added.
A guest's RSVP page shows the event details and that guest's own reply. Guests never see other guests' phone numbers or email addresses.
When you send invitations, Gathr opens your own Messages, Mail or WhatsApp with the message ready. You send it; Gathr never sends messages for you.
Where Data Is Stored
Events and replies are stored in Google Firebase (Cloud Firestore), and sign-in is handled by Firebase Authentication. Firebase is operated by Google and may store data in the United States. Some things stay only on your device: tickets, check-ins, seating charts, photo-album links and your app settings.

We do not sell, trade or rent your personal information. We share it only as described above, at your direction, or if required by law.
Your Choices and Rights
Edit or delete any event, guest, expense or post in the app at any time.
Delete your account in Settings › Delete Account. This deletes your account and every event you own (guest lists, costs, activity) and removes you from events you co-host. Replies you sent to other hosts stay on their lists.
Export your event data from Settings › Privacy.
Withdraw calendar, photo, camera or notification permissions any time in iOS Settings.
Guests who want a reply removed can ask the host, or contact us.
Data Retention
Your events are kept while your account exists, until you delete them.
When you delete an event or your account, that data is removed from our database. If you ask us by email to delete your data, we'll do it within 30 days.
Children's Privacy
Gathr is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.
Security
Data is encrypted in transit (HTTPS) and at rest by Firebase.
Database rules limit each event, its guest list and its replies to the owner and co-hosts. An invitation link shows only the event's public details (name, date, place, look and the host's note).
Sign-in through Apple, Google or Firebase Authentication; we never store passwords.
Changes to This Policy
We may update this policy as the app changes. We'll update the "Last Updated" date above, and for significant changes we'll say so in the app's release notes.
